Setting up your Gmail on Outlook 2016

Step 1

Gmail Enable IMAP

Firstly, to be able to set up Gmail on Outlook, IMAP has to be enabled on your Google account:

  • Sign in to your Google account, if not already
  • Click on the gear icon on the top right and go to Settings
  • Go to the "Forwarding and POP/IMAP" tab
  • Under "IMAP Access", make sure that "Enable IMAP" is selected.

Step 2

Gmail Account Security

Google may block sign-in attempts from some apps or devices that do not use modern security standards. Since these apps and devices are easier to break into, blocking them helps keep your account safe.

Some examples of apps that do not support the latest security standards include:

  • The Mail app on your iPhone or iPad with iOS 6 or below
  • The Mail app on your Windows phone preceding the 8.1 release
  • Some Desktop mail clients like Microsoft Outlook and Mozilla Thunderbird

If you want to change your account security settings to allow these apps despite the risks, use the following steps:

  • Sign in to your Google account, if not already
  • Click on the dotted icon on the top right to open your Google Apps menu
  • Click on Account
  • Click on Security on the left hand side

Step 3

Less Secure App
  • Go to Less Secure AppClick on "Turn on access (not recommended)"
  • Click on the switch to turn it on

Step 4

Control Panel mail

Now to setup Gmail, if this is a brand new email account, skip to Step 10.
If you currently have an existing email account with the same email address already set up in your Outlook, use the following steps:

  • Exit out of Outlook
  • Click on your Windows button on the bottom left of your screen
  • Type "Control Panel" and click to open Control Panel
  • Click on "Mail (Microsoft Outlook 2016)"
  • Click on "Email Accounts"
  • Click on "New"

Step 5

Add Account Manually
  • Select "Manually setup or additional server types"
  • Click "Next"

Step 6

Add IMAP Account
  • Select "POP or IMAP"
  • Click "Next"

Step 7

IMAP Account Settings
  • User Information:
    • Your Name: e.g. Info at Example Company
    • E-mail Address: e.g. info@example.com
  • Server Information:
    • Account Type: IMAP
    • Incoming mail server: imap.gmail.com
    • Outgoing mail server (SMTP): smtp.gmail.com
  • Logon Information:
    • User Name: e.g. info@example.com
    • Password: enter in your account password
    • Checked the "Require logon using Secure Password Authentication (SPA)".
    • Click "More Settings..."

Step 8

Internet Email Settings
  • Go to the General Tab:
    • Enter Name: e.g. info@example.com (G Suite)
    • Note: It is important to add "(G Suite)" or any other suffix to differentiate your new G Suite mailbox from the existing mailbox currently set up on Outlook
  • Go to the Outgoing Server Tab:
    • Select "My outgoing server (SMTP) requires authentication"
    • Select "Use same settings as my incoming mail server"
  • Go to the Advanced Tab and enter the following information:
    • Incoming server (IMAP): 993
    • Use the following type of encrypted connection: SSL
    • Outgoing server (SMTP): 465
    • Use the following type of encrypted connection: SSL
  • Click "Ok"

Step 9

Test Settings
  • Click "Next"
  • Confirm that the tests are successful

Step 10

Outlook Add Account

If you have set up your mailbox through Control Panel in the above steps, skip to Step 12

  • Open Outlook 2016
  • Click on "File" on the top left
  • Click on "Add Account"

Step 11

Outlook Add Account Manually
  • Enter in your email address e.g. info@example.com
  • Select "Let me set up my account manually"
  • Click on "Connect"
  • Follow the details on Step 5 to Step 9 above

Step 12

Outlook Google Login
  • Open Outlook 2016, if not already opened
  • On the Google Login dialog, follow the prompts and enter in your Google username and password
  • If you have enabled 2-factor authentication for your Gmail account, enter the code sent to your mobile device

Step 13

Google Allow Access for Microsoft
  • On the "This will allow Microsoft apps & services to:" dialog, scroll down and click on "Allow"

Congratulations! You can now access your Gmail through Outlook 2016.
